You’ve probably heard some form of the following quote:

“Most people overestimate what they can do in a day but underestimate what they can do in a year.”

But have you considered why we are so bad at building a daily schedule?

The reason is pretty simple; we are terrible at estimating task durations. And we are terrible at estimating because of what’s called the planning fallacy.

The planning fallacy is a mental bias that leads people to underestimate the time it will take to complete a task, even when they have past experiences that suggest otherwise.

Essentially, we are hardwired to be overly optimistic about our skills and ability to get things done, even when we know we are probably wrong.

Which happens to be great for dealing with life. But not so great for making your schedule. And especially bad for completing your daily task list.

The good news is time-blocking can help us overcome the planning fallacy, build effective schedules, and conquer our to-do lists.

What Is Time Blocking?

Time blocking, or time boxing as it is sometimes called, is a time management technique where you divide your day into dedicated time blocks, each dedicated to different tasks and activities.

By allocating specific chunks of time for your priority tasks, you ensure time is available to do those tasks without interruptions.

This is especially beneficial for those who do deep work, which requires longer periods of distraction-free time for intense concentration and focus.

On the other hand, shallow work, such as responding to emails, can also be batched or assigned to shorter time blocks, as they do not require the same level of concentration.

Grouping similar tasks together is often called task batching.

Why Does Time Blocking Work?

There are many benefits of time-blocking. Everything from better management of your time and energy to getting more done with less effort in true Maximalist fashion.

Here are some of the reasons why time-blocking is so effective:
